Better Communication with Parents
Chat vs. one central place for information

Edumaps

❌ The situation today – The Chat

  • ⚠️ One trainer. 20 families. One chat. ⚠️
  • Everything goes in there: training times, cancellations, tournament dates, what to bring, who pays what by when, photos, jokes, questions, answers, questions again.
  • A long long thread of distributed information, and no one finds the important things.
  • Problem: Important and unimportant look the same. And both scroll away.

💬 Example chat: Find the payment deadline

  • A normal Tuesday evening in the chat. Somewhere in it is the payment deadline. Find it.
  • 19:02 Great training today boys 👏
    19:05 👏👏👏

    21:50 Is training on Thursday?
    21:55 Yes
    22:14 ok

  • Now add 60 more messages until Friday.
And imagine you are not on Viber at all.
  •
  • Zum Zeigen klicken
The deadline was message 7 of 13.
By Friday it is message 7 of 80.

    Nobody scrolls back 80 messages.

😩 What actually happens in a chat

  • ❌ The important message is 80 messages up. Nobody scrolls.
  • ❌ A payment reminder is posted at 22:14. Three parents were asleep, two were driving, one is not on Viber at all.
  • ❌ "Did you pay?" - "I think so?" - nobody has a list. The trainer asks again. And again.
  • ❌ Training cancelled? It was mentioned in a reply to a reply. Two kids show up in the rain.
  • ❌ New parent joins in October. Everything said before October does not exist for them.
  • ❌ Separated parents: one is in the group, the other gets screenshots. Half the information, a day late, out of context.
  • ❌ Finding old information is hard. You have to remember what to search for and which message had it.
  • ❌ No structure. A schedule, a payment list and a discussion about shin guards all look identical.
  •
  • 💸 What this costs
  • WhoWhat it costs
🧑‍🏫 TrainerHours of repeated answering and chasing money
👨‍👩‍👧 ParentsMissed deadlines, missed trainings, arguments at home ("why didn't you tell me?")
⚽ KidsThey show up unprepared or not at all. Not their fault.
🏟️ ClubLate payments, late registrations, a bad image
  •
  • Every cost is avoidable!

📌 ONE central place
This is what it looks like

  • One page. The trainer updates it once. Everyone knows where to look. This box is a real example.

  • Tournament fee: 25 EUR, pay by Friday, 2 October 2026

  • Who has paid:
    • ☑ Jonas
    • ☑ Lukas
    • ☐ Matas
    • ☑ Dovydas
    • ☐ Nojus
  • Demo with made-up names. For a real team, keep this list where only the trainer can see it.
  •
  • 🎒 What to bring on Saturday
  • Each family ticks off its own list. Nobody sees or changes anyone else's. The trainer sees who is ready.
  •
  • 📄 Documents
  • Consent form, tournament rules, medical form. As files, not as blurry photos.

  • ❓ Questions
  • Answered once, here. Not 8 times in private.

👍 What the chat is still good for

  • Quick, unimportant, right now:
  • "We are 5 minutes late."
  • "Great game today!"
  • A chat is for talking.
  • It is a filing cabinet a calendar a cash book a chat.
  •
  • 🧭 Rule of thumb
  • Next week? → Map
  • Next hour? → Chat
  • If someone might need it next week, it belongs on the map. If it only matters in the next hour, the chat is fine.

🚀 How to start (10 minutes)

    1. Trainer or one parent creates a map.
    2. Add the boxes: schedule, payments, paid list, what to bring, documents, contacts.
    3. Send the link once in the chat. Pin it.
    4. Every new piece of information goes on the map first. The chat gets one line: "Updated on the map."
