🔑 Checking Your Account, DPA, and Letterhead

  • As the school admin, you lay the foundation before your colleagues start.
  •  
  • First, check under My Account:
    • Is the correct school shown and are you enabled as an admin?
    • Is a real work email address stored? Without it, no password reset works. – Important: use functional email addresses, not private ones!
    • Do the admin functions appear (List of all accounts, Create accounts, Invite users)?
  •  
  • Data processing agreement (DPA):
  • Under My Account and Data Processing Agreement (DPA) you enter your school's details and confirm. The DPA is the mandatory organizational step for data protection - take care of it early, before Edumaps is used widely.

  • Letterhead:
  • Under Edit letterhead you store your logo, address, and contact details - the basis for certificates of participation and rental slips.

👤 The Three Ways to Accounts

  • In the user management under Create accounts there are three ways:
    1. List of names:
      One name per line, optionally with email and class - the fastest way for small groups.
    2. CSV file:
      For whole classes and the school year rollover, with update import.
    3. Without names:
      Neutral accounts in any quantity - ideal for test accounts and prepared classes.

  • The password decision:
  • The same starting password for short tests, individual passwords for real operation.
  •  
  • Understanding dummy emails:
  • Accounts without a real email get a technical dummy address. Important: password reset via Forgot password does not work with it - the admin then has to set a new password for the account manually in the list of all accounts.

🎫 Login Passes, QR Codes, and the Golden Rule

  • ⚠️ The golden rule: Passwords and QR codes are shown only right after creation and are not stored on the server afterwards. Save first, then distribute!
  •  
  • Right after creation:
    1. Download the CSV file (flashing button) - your only backup of the credentials.
    2. Show login passes and print them as a PDF - small cards with username, starting password, and QR code.
    3. Hand each user their matching login pass.
  •  
  • First login via QR code: Scan, sign in, set your own password - done. Especially for younger classes the smoothest way.
  • If credentials do get lost, you as the admin set new passwords - hence: save the CSV immediately.
