Read** The recipient can view the box and its contents but cannot change anything. **2. Edit** The recipient can change the content of the box and add their own content (texts, uploads). Note: The permission applies to this box only. The recipient does not receive editing rights for other boxes or the map. Copy link, QR code, and share button | **Copy link** Click the “Copy” button to copy the box link to the clipboard. Then distribute it via your usual communication channel. **QR code** The dialog automatically generates a QR code for the link. Your students can conveniently scan it with a phone or tablet. Click “Download” to save the QR code as an image, for example for a worksheet or a presentation. **Share button** Clicking “Share” opens your device's share menu (on smartphones and tablets). This way you send the link directly to an app such as email or messenger. What does the recipient see? | **With “Single box”:** The recipient sees only the shared box in a dedicated view. Your students open the link, see only the assignment, and submit their solution as a comment, with text, photo upload, or audio recording. Since the comments are set to “Only me”, only the teacher sees the submissions. The students do not see each other's solutions. Scenario: Group work | Assign each student or each group their own box: -- Create one box per student or group (for example with the name in the box title). -- Share each box individually with display “Single box” and permission “Edit”. -- Distribute each link to the respective student or group. Each student works focused in their own box without seeing the other boxes. As the teacher, you see all edits arrive on your map combined and **in real time**. What Do the Recipients Get? | Every member of the group is assigned their **own copy** of the map. - You as the teacher are the owner of every copied map. - The recipient receives access to their map (editing rights). They find the map in their personal area under {"Received"}{https://www.edumaps.de/user/received}. - The recipient receives a notification on Edumaps. - Every recipient edits only their own copy. The maps of other students are not visible to them. Copies Are Independent of the Original | The distributed copies are independent maps. If you change the original later, the copies that were already distributed remain unchanged. The copies do not receive any updates from the original. ## Exception: Embedded Content If a {column}{https://www.edumaps.de/1081/1/jfb6vptvgo/0g56y4cjyr} or {box}{https://www.edumaps.de/1074/1/33kpbdv4am/784k8u8m6f} from another map was **embedded** in the map before distributing, this embedding remains active in the copies as well. The embedded content continues to show the current state. Tip: This lets you combine both deliberately. Fixed content (tasks, material) belongs directly in the map. This creates **new copies**. Existing copies are not overwritten and not updated. A new folder containing the copies is created as well. Tip: Adjust the map title before distributing again (e.g. "Weekly Plan Week 34" instead of just "Weekly Plan") so the recipients can tell their copies apart. Typical Use Cases | **Weekly Plan** Every student checks off the tasks in their own copy and keeps track of their personal progress. **Practice Map** Distribute exercises with checklist or quiz boxes. Everyone practices at their own pace without seeing the results of others. **Portfolio** Distribute a prepared portfolio structure. Every student fills their copy with their own content over the school year. Notes | - Via the automatically created folder you can open each student copy individually. - You find all created copies under {"My Maps"}{https://www.edumaps.de/user/maps}. Each recipient only has access to their own map. You as the teacher are the owner of all maps. - You can manage or delete the copies centrally via the folder, since all maps belong to you. - If you want to see your students' work directly on your own map, use {Sharing a Single Box}{https://www.edumaps.de/1082/1/c968s4u3fmp7/dow0gnvczk1m} or {Sharing Columns}{https://www.edumaps.de/1099/1/8c1r73m85c/ly9pqzltsw} instead.   • 2.6 Using Folders: Remember, Share and Search Maps

    Removing map from Folder | You can remove any map and any folder from the folder again. 1. The map itself is not deleted here, only the reference to the map in your folder is removed. !#remove Saving Folder inside Folder | You can save not only maps, but also entire folders inside another folder. This allows you to structure larger collections clearly, for example by topics, classes, projects, or school years. Go to your folder, click the red edit icon, and then click the **“Add folder”** button. Background** Choose a predefined color or a background image. You can darken the background and enable blur. **2. Publish** By default, every folder is private (not listed). Sorting of Maps** Here you can define the arrangement of the maps within the folder. **4. Protect** Each folder can be password-protected. In addition, you can use the option “Access only for registered users of my school” to prevent other users from accessing the folder. **5. Extras** Here you can set the language of the folder. This is helpful if you have multiple folders/maps in different languages on your public profile. A language filter dropdown will then appear. !#detailsSorting of Maps in the Folder | You have the option to change the sorting of maps within the folder. There, you can choose between four sorting options: - Newly added maps first - Newly added maps at the end - By map title A - Z - By map creation date This sorting is applied when the folder is opened for the first time. The search for boxes works in all folders as well as globally on the “My Maps” page. !#search Introduction | ✔️ With folders you can: - Collect important maps in one central place - Compile and distribute maps - Represent higher-level structures - Compile maps into folders together with others (collaboration) > A folder contains **references to maps**. The map itself remains in its original storage location and can be saved in multiple folders at the same time.Create new Folder | On the {“My Folders”}{https://www.edumaps.de/user/folders} page, you will see several folders that every user has by default. It is suitable as a backup, for passing on by email or cloud, and for transferring to any account or server. **How to export:** -- Open the map in **edit mode** (red pencil icon at the top right). -- Click the map menu (three dots) and choose **"Export"**. -- Choose **"Edumaps file (json)"**. -- The file is downloaded. The file name contains the date and the map title. **What the file contains:** - Map settings (title, format, background, tags) - All columns and boxes with contents, colors, and settings - Text fields and arrows on sticker walls - References to uploaded files > The files themselves are not inside the JSON file. They are fetched from the source server during import. So do not delete the uploads of the original map as long as you still want to import the JSON file. A backup within Edumaps is also possible via "Copy map", but the JSON file additionally sits outside the platform. **License expiry:** If a school or state license expires, your maps remain fully intact. However, the storage is reset to the free quota. There are two ways, depending on the account type: **A) Teacher or student accounts of the same school** The school admin can merge both accounts: -- The school admin signs in and opens the page {Merge accounts}{https://www.edumaps.de/users/merge}. -- There they choose the account to keep and the account to dissolve. -- All maps and uploads of the dissolved account move into the remaining account. **B) Basic accounts (without a school)** Merging is not possible here. Instead, transfer the maps as in Case 2: -- Note all map links in the old account. -- Sign in with the new account, open each link, and choose "Copy map". -- All uploads are automatically copied into the new storage. -- Optional: delete the old account under {My Account}{https://www.edumaps.de/user/account} and then enter the email address in the new account. Then you do not share the map itself, you distribute copies. **Here's how:** -- Open your map and click the three menu dots at the top right. -- Choose **"Copy"** and then click the tab **"Distribute to group"** in the dialog. -- Choose the class or group. -- Confirm. Every student in the group receives their own copy of the map in their account and a notification. **Good to know:** - Each copy belongs to the respective student. One student's changes are not visible to the others. - Your original map stays unchanged. You can distribute it again later, for example to another class. - Students find their copy under {My Maps}{https://www.edumaps.de/user/maps}. - A folder containing all distributed maps is created automatically. You are the owner of this folder and can review the results at any time. > Difference from "Share with group": there, all students work together on one map. With "Distribute to group", everyone works alone on their own copy. Not taken over: - Poll results and votes - Ticks set in checklists - Comments and student submissions - Likes and ratings - Bookings, reservations, and participant lists - The map's history - Shared links, column-group links, and group releases > That is usually what you want: the copy for the next class starts clean. If you need the results, save them beforehand, for example participant lists as CSV. **Also keep in mind:** - The copy has a **new map link**. Distributed links and QR codes still point to the original. - It is best to double-check passwords and access settings in the copy. - Embedded columns from other maps remain references and do not become your own content. 📁 Folders and Collections | Folders contain only **references** to maps, not copies. They therefore cannot be copied or exported. - If you want to "transfer" a folder, simply share it with the other account. The other account can save the folder in its own folders. - If the maps in the folder should really pass into the ownership of the other account, that account copies the maps individually (Case 2) and places them in its own folder. > For many maps, the folder is the easiest handover: the previous owner shares the folder, the new account gradually copies what it really needs.
